It’s not hard to organise an office and once you have various things in place it then simply becomes a matter of maintaining this. In this post, we look at tips for keeping a clean and organised office space as well as what employers can do to assist.
Keeping A Clean and Organising Office Space
Assess What is in the Space
Before you begin, take a look at the space and what is in it. You’ll need to decide what you need to do and how you want to approach this. You’ll also need to decide how best to maintain what you have achieved.
Get Rid of What You Don’t Need in General Areas
It’s amazing how quickly an office can fill up with clutter if no one is maintaining their personal space or shared spaces. There should be a system in place for example to dispose of junk mail for example. This will need shredding regularly. Make sure magazines available for clients to read whilst waiting are recent and in good condition. It helps to have a dedicated person to check through these regularly and dispose of those no longer needed and get suitable replacements.
Get Rid of What You Don’t Need On Your Desk and In Draws
Your own space should be checked regularly to make sure that paperwork for projects that are complete have been properly processed and filed away. There is no need for clutter, this just adds to confusion when you are looking for an item. Pencils, pens, highlighters should be tidied away and easily accessible.
Desk draws should also be tidied regularly. Keep an eye on items you need and may be running low on so that you don’t run out and so that general office stock levels can also be monitored well.
Avoid Stockpiling Stationery
Don’t you just hate it when you need stationery, can’t find it, and know another colleague has unnecessarily stockpiled. More often than not they’ll have a messy desk with draws that don’t close due to being over filled.

Utilise Organisation Systems
Look at how to make your office space look clean and professional while making it easier for other staff to find things. Some offices use file folders that can be labelled for “Invoices” or “Bills”, while others use shelving to store items. Whichever you prefer make sure all items are easily accessible to all members of staff.
Keep Desks Clean
While organising an office area, remember it isn’t just a tidy space that is required. It is also very important to make sure each desk space is clean. Clean your desk, once everything has been tidied away is important. More so if you hot desk. It needs to be both tidy and clean for the next person using the desk. In some cases, companies will arrange for a cleaning company like Sentrex to do a thorough clean at least once a day between shifts.
Maintaining a Tidy Desk and Office
Once the office space is organised and clean, you’ll need to keep it that way. Make sure that staff ensure paperwork or files are put away tidily in the correct place. Ensure staff keep desk areas clear of food and drink, so crumbs and spills don’t start to accumulate.

I do not have an house office because my job requires me to actually go for work but I do share an office with my two colleagues, it doesn’t matter how much the office orderly organises it, I always try to organise it everytime I arrive so that my desk doesn’t look as messy as my colleague desks.
